Position Summary
We are seeking a highly organized and detail-oriented Records & Data Coordinator to join our administrative team. In this role, you will be responsible for managing, organizing, and maintaining company records and ensuring accurate data is entered and updated across systems. This position is ideal for someone who excels at working behind the scenes to keep information accurate, accessible, and secure.
Key Responsibilities
Maintain and organize digital and physical records for customers, services, inventory, and internal documentation
Accurately input, update, and retrieve data in company databases and software systems
Conduct routine audits to ensure data integrity and completeness
Assist in generating reports and summaries for management and team leads
Support other departments with information retrieval and record maintenance
Ensure compliance with internal policies and external regulations regarding data and document retention
Collaborate with administrative and service teams to streamline recordkeeping processes
Protect sensitive company and customer data by maintaining confidentiality standards
Qualifications
High school diploma or equivalent required; associate degree in business administration, information management, or related field preferred
Proven experience in records management, data entry, or administrative support
Strong attention to detail and excellent organizational skills
Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
Experience with service management software or CRM systems (e.g., ServiceTitan) is a plus
Ability to handle confidential information responsibly
Strong communication skills and the ability to work independently or as part of a team
